Poster Spotlight Guidelines

Poster Spotlight presentation instructions for the 2024 San Antonio Breast Cancer Symposium®, December 10-13, 2024, at the Henry B. Gonzalez Convention Center, San Antonio, Texas:

You are required to produce and upload both a virtual poster and a printed poster. Presentations must be given in-person in San Antonio. You have the option to record a 2-3-minute audio overview of your poster as an MP3 file. The deadline for virtual posters and optional audio is 11:59 CST on Tuesday, November 12, 2024.

New for 2024 - PowerPoint slides are not needed.

Note: you will receive a separate email with information on the submission portal, where you will complete all necessary tasks for the virtual poster and optional audio component of your presentation. 


Poster Spotlight Presenter Information

  1. Please note: A printed poster is required for the Poster Spotlight Session poster viewing and interaction with presenting authors will take place the first 30 minutes of the in-person session at the Henry B. Gonzalez Convention Center.
  2. Followed by a discussant that will describe how the work of 4 abstracts impacts the field at large. We will have a total of two discussants that will be assigned 4 abstract each. A total of 8 abstracts will be discussed in a session.
  3. There will be time for a panel Q&A. All Presenting Authors will be on stage in this portion.  
  4. Please arrive 15-minutes prior to scheduled session.
  5. Printed Posters ordered through Genigraphics will be placed by SABCS staff prior to the start of the session. If you choose to bring your own poster, please be advised that all posters must be placed on poster boards no later than 15 minutes prior to the start of the session. Pins will be provided and placed on Poster Boards prior to the start of each Poster Spotlight Session.

The San Antonio Breast Cancer Symposium® has selected Genigraphics as their preferred poster printing service for the upcoming 2024 Symposium. Presenters are encouraged to take advantage of this simple, convenient way to print their posters and pick them up onsite at the convention center. While the service is optional, only printed posters that are ordered through Genigraphics by the deadlines below can be delivered directly to the Symposium for onsite pickup. Individual posters cannot be shipped to the convention center. Please be sure to include your Presentation ID on the printed poster.

  • Plan Ahead order deadline is 1:00 PM CT on Wednesday, November 27, 2024.
  • RUSH order deadline is 1:00 PM CT on Tuesday, December 3, 2024 (rush fee applies).

Please note: If you choose to use any other printing service other than Genigraphics. The poster must be shipped directly to the presenter and hand carried by the presenter to the conference. SABCS cannot receive individual FedEx packages on-site.


Poster Format Requirements

  • Posters should be no larger than 72 inches wide by 36 inches high (182.88 cm wide and 91.44 cm high). Larger posters will not fit on the poster boards provided.
  • Each presentation should contain a top panel listing the Presentation ID, the title of the abstract, and the names of the authors.
  • Files must be in Adobe Acrobat (pdf) or PowerPoint file format. PDF is preferred.
  • The orientation of the poster is LANDSCAPE (horizontal).
  • Poster content should be easily read from a distance of 6 feet.
  • You are strongly encouraged to use a font size greater than 22 pt (or 3/8" high when printed).
  • Presenters may include a QR code on their printed poster which will link directly to their companion virtual poster on the virtual site for the Symposium. You cannot link to copies of your audio/video presentation or a copy of your abstract text. SABCS does not provide the QR Codes. If you choose to include a QR Code on your poster, you must also include the following disclaimer on both print and electronic versions of your poster:

"Copies of this poster obtained through Quick Response (QR) Code are for personal use only and may not be reproduced without permission from SABCS® and the author of this poster." Written authorization is not required, unless your QR code links to the full text of your abstract, which would be considered a reprint. For questions, please contact sabcs@uthscsa.edu.


Virtual Poster

  • Clearly print 1 email address on your poster for attendees to refer to should they have any questions or comments. If you do not wish to print your own email address, please list another email address for an appropriate contact person for your abstract. This must be an author listed on your abstract.

  • SABCS is committed to minimizing commercial bias in poster presentations. Poster presentations should not contain any of the following: commercial logos, company names, brand or proprietary drug names. Only cooperative group, hospital, and non-profit company logos are permitted.

  •  For publishing purposes, upload must be a PDF file at highest resolution possible. The aspect ratio (ratio of width to height) should ideally be set to '16:9' and is limited to one (1) slide only. That means one single page for your PDF file.

 
Presentation Review:

A final or draft version of your virtual poster must be in electronic format and uploaded to the presenter portal for review for CME accreditation no later than Tuesday, November 12, 2024. No extensions will be granted. If you upload a draft version of your virtual poster, please note the final draft will only be able to be uploaded on site.

Preview your Presentation:

You must meet with SABCS® AV technicians the day prior to your presentation in the Speaker Ready Room, Room 225D. Reviewing with the technician will help ensure a flawless presentation. The virtual poster we receive will be uploaded and used for your presentation.

Cancellation Policy:

If for any reason your presentation must be cancelled, notify the Symposium office in writing as early as possible by email to sabcs@uthscsa.edu. Be sure to mention your assigned program number which appears at the top of your acceptance notification.

It is expected that all presenters will give an unbiased presentation without using product promotion and will not discuss content or make clinical recommendations in their "conflict-of-interest" area. A content expert will be asked to review presentation content and rate for the absence of commercialism, product promotion, bias, or unresolved conflict of interest. This review will take place both prior to and during the presentation.

SABCS, as copyright owner, has sole authority to grant permission to reproduce the abstract. However, authors of SABCS abstracts are permitted to use their abstracts in the following ways without requesting permission from the SABCS. All such uses must include appropriate attribution to the Cancer Research supplement issue in which the abstracts are published. Authors may:

  • Reproduce the abstract, including tables, in books, reviews, or subsequent research articles they write.
  • Use the abstract in presentations.

SABCS Rules for repeat presentations

Senior investigators:
1) Individuals should not have more than one General Session Oral Presentation.
2) Individuals should not have more than two presentations at Rapid Fire Mini-Oral presentations, Poster Spotlights, or Late-Breaking Abstracts.

Junior investigators:
1) Individuals should not have more than two General Session Oral Presentations.
2) Individuals should not have more than three presentations at Rapid Fire Mini-Oral presentations, Poster Spotlights, or Late-Breaking Abstracts.
