Note: Orchid Events is the official provider of 2024 San Antonio Breast Cancer Symposium® housing. Orchid Events staff are available for changes and cancellations through November 18, 2024. Beginning November 25, 2024, changes and cancellations must be directed to your confirmed hotel.
Housing Desk at the Symposium
Location: Main Lobby of the Henry B. Gonzalez Convention Center
Need help with your hotel reservation or help with other housing issues Visit the Housing Desk located in the registration area for assistance with your accommodation needs during the symposium. A team will be on hand to assist you with questions or concerns.
Hours:
Monday, December 9: 12:00 p.m. - 6:00 p.m.
Tuesday, December 10: 8:00 a.m. - 6:00 p.m.
Wednesday, December 11: 7:00 a.m. - 6:00 p.m.
Deposit and Cancellation Policies
Both group block and individual cancellation policies have been modified for 2024. The hotel deposit and cancellation policies for 2024 are as follows:
Domestic Group Blocks
- Friday, July 12, 2024: Non-refundable 2 nights room & tax due to confirmed hotels.
- Monday, November 4, 2024: Non-refundable full payment will be due to hotels for all room nights confirmed.
Attendee/Individual Reservations:
- A $50 cancellation fee will be charged for cancellations received after October 7, 2024.
- For reservations cancelled less than 72 hours before the confirmed arrival date, a one night’s room and tax cancellation fee will be charged.
- Attendees failing to arrive on the confirmed date will have their credit card charged a one night's room rate and tax. All subsequent nights of the reservations will be cancelled.
Notice: Beware of fraudulent registration and housing websites
Hotel room and meeting registration pirating is a practice carried out by third-party companies that act as travel agencies, wholesalers, or destination management companies to solicit attendees for room reservations for other organizations’ meetings.
Deceptive tactics used by pirate registration and housing companies include:

Adding processing fees or taxes when registering for the meeting and requiring payment via PayPal

Illegally using SABCS name and/or logo to falsely represent themselves as being affiliated with SABCS

Informing attendees and exhibitors that the SABCS hotel room block is sold out and that if you do not book with them immediately, you may not get a room

Distributing forms or promotional materials that appear to be issued by SABCS

Non-delivery of promises to customers (e.g., when customers arrive, reservations are sometimes non-existent, or the hotels are not conveniently located)

Registration and hotel rates are higher than those on the SABCS website
If you are contacted by someone asking if you need a room for the SABC, and the individual is not a representative of UTHealth or AACR, please get as much information as you can about the company and contact the SABCS office.
